How to convert a PDF to QBO

1

Upload the PDF statement

Drag in one or more PDF bank or credit card statements, digital or scanned. A month, a quarter or a year of statements can go in one job.

2

Check the transactions

DocuClipper extracts every transaction and totals it against the statement's printed opening and closing balance. A statement that does not tie out is flagged Not Reconciled so you can fix it before export.

3

Download the .qbo file

Click Download Data and choose QuickBooks (Web Connect). Pick the bank, the account type (Checking / Savings or Credit Card) and the currency, then click Download QuickBooks.

4

Import it into QuickBooks

QuickBooks Online: Banking, then File Upload, and pick the account. QuickBooks Desktop: File, Utilities, Import, Web Connect Files. The transactions land in For Review.

Import guides with screenshots: QuickBooks Online, QuickBooks Desktop (Web Connect), QuickBooks Desktop (IIF). Full walkthrough: PDF to QBO step by step.

29,193 statements a month go into QuickBooks this way

91% balance on their own. The rest are flagged so you look before you import, not after QuickBooks refuses to reconcile. Production numbers, not a lab test.

Why check before the file reaches QuickBooks

QuickBooks imports whatever is in a .qbo file. A missing transaction or a withdrawal booked as a deposit only shows up weeks later, when the account won't reconcile. DocuClipper adds up each statement against its own printed balances first, so a statement that doesn't match is flagged in the app instead of landing in your books.

How the check works: balance and totals checks.

Why the file imports on the first try

  • Your bank, recognized. You pick it from 5,531 banks QuickBooks knows, which avoids the dreaded Unable to verify financial institution.
  • The right kind of account. Checking, savings or credit card, so charges and payments land on the right side.
  • No duplicates. Importing the same file twice doesn't double your register.
  • One file per account. A PDF with checking and savings becomes a separate .qbo file for each.

Built for QuickBooks bank imports

Checked against the statement

Opening balance plus deposits minus withdrawals must equal the printed closing balance. Statements that don't match are flagged before you download.

Bank and credit card accounts

Set the account type to Credit Card and charges and payments import with the right sign into a QuickBooks credit card account.

Any bank, no templates

Works on downloaded and scanned statements from any bank, including PDFs with several accounts or months, with nothing to set up.

One file per account

A PDF that holds checking and savings, or several cards, can be downloaded as a separate .qbo file for each account.

No duplicates on re-import

Upload the same file twice and QuickBooks skips what it already has, so your register never doubles up.

PDF to QBO converter FAQs

Upload the PDF bank or credit card statement to DocuClipper. It extracts every transaction and checks the total against the statement's printed opening and closing balance. Then click Download Data, choose QuickBooks (Web Connect), pick your bank, the account type (Checking / Savings or Credit Card) and the currency, and click Download QuickBooks to save the .qbo file.
In the 30 days to October 13, 2026, users downloaded 23,475 QBO files carrying 2.76M transactions, across 1,541 accounts. QBO is the most-downloaded accounting format, ahead of Xero CSV (2,573 files), and second only to Excel and CSV overall.
Yes. The same .qbo file imports into QuickBooks Desktop under File, Utilities, Import, Web Connect Files. If your Desktop version no longer accepts Web Connect (Intuit retires online banking for older versions on a rolling schedule), download an IIF file from DocuClipper instead and import it under File, Utilities, Import, IIF Files.
The bank ID inside the QBO file does not match what QuickBooks expects. Download the file again with the correct bank selected. If your bank is not in the list, pick Chase Web Download for a US bank, or BMO with the currency set to CAD for a Canadian bank.
Yes. Choose Credit Card as the account type in the download dialog and import the file into a QuickBooks credit card account. 3,225 of the statement periods downloaded as QBO in the last 30 days were credit card statements.
Upload the PDF, then choose Excel and the CSV file type in the download dialog instead of QuickBooks (Web Connect). QuickBooks Online accepts CSV under Banking, File Upload, where you map the date, description and amount columns. A .qbo file needs no column mapping, which is why most users pick it. If you already have a CSV or Excel export from your bank, use the CSV to QBO converter.
Yes. Scanned and image-based PDFs work too: 20% of the statements downloaded as QBO in the last 30 days were scans. Scan quality affects results, so check the reconciliation badge before you download.
DocuClipper's 14-day free trial needs no credit card. It converts up to 120 pages and shows every extracted transaction, and you can download a sample QBO file to test the import into QuickBooks. Full downloads come with a paid plan, from $29/month for 60 pages.
No. Re-importing the same file gives every transaction the same ID, so QuickBooks skips the ones it already has. A different file covering overlapping dates gets new IDs, so import only the new date range.
Convert the PDF to a QBO (Web Connect) file with DocuClipper and upload it under Banking, File Upload in QuickBooks Online. The transactions land in the For Review tab, where you categorize and match them as usual.
